President

Job summary: The President supervises, directs and controls the business of STSW. The President provides leadership to the Board and helps assure that it functions effectively.

Summary of essential job functions:

·       Serve as Chief Executive Officer of STSW

·       Preside at all meetings of the Board/Executive Committee

·       Develop agenda for these meetings

·       Serve as ex-officio member of all committees

·       Sign and execute all authorized bonds, contracts and other obligations in the name of STSW with consent of at least three other officers

·       Appoint committee chairs and committee members, subject to Executive Board approval

·       Assign annual project charges to each committee in consultation with each committee chair

·       Serve as focal point and chief spokesperson for STSW

·       Prepare and present report to the membership at the annual meeting

·       Reviews bylaw and polices of STSW and recommend changes as necessary

Secretary

Job summary: The Secretary shall keep a record of all minutes of all meetings of the Corporation and the Board of Directors and a record of the reports of committees appointed by the Board.

Summary of essential job functions:

Treasurer 

Job summary: The Treasurer manages the finances of STSW and ensures accurate account of all money.

Summary of essential job functions:

·       Serve as executive officer of STSW

·       Serve as liaison to the Board of Directors

·       Propose annual budgets to the board

·       Present current financial statement to the board at regular meetings

·       Present current financial statement to the membership at the annual meeting

·       Complete the requisite financial documentation to comport with all statutory and auditing purposes

·       Maintain STSW bank accounts, including all monthly and annual statements

·       Keep current records of STSW members’ payment of annual dues

·       Assure financial review as specified in STSW bylaws

·       Sign contracts with the approval of at least three other STSW officers

·       Complete the books and files taxes for the remainder of the calendar year that his/her term of office terminated

    Bylaws Chair

    Job summary: The Bylaws Chair helps develop, modify and maintain the bylaws that govern STSW and is also the compliance officer of the Society.

    Summary of essential job functions:

    • Maintain the primary official document of the STSW, which is the bylaws
    • Suggest bylaws modifications to meet STSW’s mission
    • Ensure the ongoing review of the bylaws by the executive board
    • Solicit and file Conflict of Interest Statements from all board members and make sure their membership status is up to date
    • Provide assistance to the Board of Directors in regards to compliance with bylaws
    • Recruit 1-2 members to review bylaws annually

    Conference Chair

    Job summary: The Conference Chair oversees planning of the STSW annual conference. The Conference Chair typically also serves as the conference committee site chair.

    Summary of essential job functions:

    • Develop a team of social workers to host the annual conference
    • Coordinate planning process in collaboration with three committees: Site, Vendor, and Program (see responsibilities below)
    • Announce the “kick-off” of conference at previous year’s annual meeting
    • Organize and set agenda for on-going planning team meetings (every 2-4 weeks)
    • Apprise executive board of planning progress through monthly conference calls
    • Work with executive board and conference planning consultant to trouble shoot any issues/resolve conflicts
    • Keep conference costs within approved budget
    • Participate in STSW Board meetings
    • Evaluate conference outcomes
    • Provide guidance and assistance to next Conference Chair

    Summary of conference committee responsibilities:

    Development Chair

    Job Summary: The Development Chair is responsible for identifying potential funding resources for STSW.

    Exhibitor Chair

    Job summary: The exhibitor chair is responsible for identifying, soliciting & liaising with exhibitors who participate in the STSW annual conference.

    Summary of essential job functions:

    • Identify and solicit potential exhibitors
    • Correspond with all exhibitors and act as the liaison to the STSW treasurer and local exhibitor coordinator
    • Obtain statement of liability
    • Send W-9’s
    • Assist in receiving payments
    • Provide thank you letter at end of conference
    • Work with local exhibitor coordinator or conference committee to:
    • Obtain information re: hotel AV, shipping information and parking costs for exhibitors
    • Identify exhibitors that will be on conference bags and provide logos to local exhibitor coordinator
    • Designate placement of exhibitor at conference
    • Check conference materials to be sure updates are current with exhibitors who have paid
    • Work with treasurer to identify which exhibitors obtain Annual Society Celebration tickets
    • Work with local exhibitor coordinator to be sure conference signage is in place to thank exhibitors
    • Participate in monthly conference planning calls

    Historian

    Job summary: The Historian is responsible for assembling and preserving the record of activities and achievements of STSW.

    • Secure photographs of conference attendees, events and board
    • Secure photographs of award winners and new CCTSWs
    • Write and submit press releases about significant Society events
    • Collaborate with the Technology Committee to keep history, photographs and member news updated on the STSW website as requested
    • Safeguard records and other materials pertinent to the history of the association and transfer them to successor

    Job summary: The Member at Large represents the specialty interest of a particular practice area (heart, kidney/pancreas, liver, living donor, lung, pediatrics or mechanical circulatory support).

    Multicultural Issues Chair

    Job summary:

     The Multicultural Issues Chair addresses cultural diversity issues related to STSW professionals and clients served.

    • Provides information to the STSW Board and membership as it relates to current cultural issues in transplantation
    • Promotes greater understanding and sensitivity in regards to race, ethnicity, gender, sexual orientation, religion, socio-economic status and mental/physical abilities in transplantation
    • In collaboration with website committee, provides transplant multiculturalism resources to membership via the website
    • Acts as liaison to the conference planning committee in getting speakers on multicultural issues

    Nominating Chair

    Job summary: The Nominating Chair is responsible for soliciting nominations for STSW board positions and presiding over elections.

    Summary of essential job functions:

    • Keeps an up-to-date roster of all board members, their positions, dates of election/appointments, and term expirations.
    • Notifies the executive committee of board positions that will be up for election or appointment at the annual meeting.
    • Solicits nominations for open positions, working in conjunction with the executive committee.
    • Reviews the eligibility requirements for each position and sees that the nominees meet these requirements.
    • Contacts each potential nominee to see if he or she is willing to serve if elected.
    • Prepares bios of nominees for elected office and sends them to the membership prior to the vote.

    Public Policy Chair

    Job summary: The Public Policy Chair monitors proposed US federal and state legislation related to transplant, as well UNOS guidelines; informs the membership about pertinent issues; and advocates for the best interests of transplant patients and the membership.

    Summary of essential job functions:

    • Monitor proposed legislation in the US, at both the federal and state level, related to solid organ transplant, living organ donation, and mechanical circulatory support
    • Review all UNOS invitations for public comment for issues related to transplant social work
    • Inform members of important opportunities for advocacy
    • Strengthen liaisons with other agencies/organizations to improve advocacy and networking
    • Work with website committee to include summaries of these issues on the STSW website
    • Report on transplant-related legislation at board meetings and STSW annual meeting

    Research Chair 

    Job summary: The Research Chair encourages and supports members’ research on psychosocial aspects of end organ failure and transplantation.

    Summary of essential job functions:

    • Inform membership of availability of research grants
    • Update research grant criteria on STSW website as indicated
    • Review submitted applications for appropriateness using established criteria
    • Offer opinions on revisions as needed
    • Submit final proposals with recommendations to executive board for approval
    • Assist with determination of stipend amount
    • Monitor investigator’s progress toward presentation and publication at least annually and remain available as a resource as needed

    Technology Chair 

    Job summary: The Technology Chair serves to enhance communication to STSW members and the general public by providing open access to information about STSW via the website, the forum, email notifications, etc. The website is the primary focus of this position, as it is the public face of the Society and is a vital tool, involved in almost every aspect of Society business.

    Summary of essential job functions:

    • Collaborates with the STSW board, a website committee, and the website consultant on the design and development of the website
    • Recommends enhancements of the website to the Executive Committee
    • Coordinates with the website consultant on technical problems with the website functionality
    • Reviews the website to ensure that it is up to date, accessible, and easy to use
    • Works with membership and conference chairs and website consultant regarding online registration forms and databases
    • Helps members with any access or registration problems
    • Coordinates technical aspects of the online forum
